The idea, in plain English
Start here.
Before using AI with a document or dataset, define the question, confirm that the chosen tool is permitted to process that material and provide only the relevant information. Check what the tool actually received, ask for source locations or inspectable calculations, and verify important results. Removing a name alone does not establish anonymity, and a supported file format does not prove every page, image or formula was processed correctly.
A workshop coordinator wants to total supply quantities. The original file also contains volunteer contact details and private notes that have no role in that calculation. The useful first step is deciding which fields the task needs, before choosing an upload button or writing a longer prompt.
A few words you’ll meet.
OPEN WHAT YOU NEED ↙Data minimization
Limiting the information used for a task to what is actually needed, rather than including an entire available record by default.
Extraction
Getting content out of a source file, such as text from a page or values from a table. Extraction can omit or misread information.
OCR
Optical character recognition: converting text shown in an image into machine-readable text, with possible recognition errors.
Source location
A page, section, slide, row or other reference that lets a reviewer inspect the evidence for a result.
Define the question and choose appropriate inputs
Write the result you need: total the listed supply quantities, summarize the confirmed decisions or compare named fields in two versions. These are different jobs. A quantity calculation may need item, amount and unit, but no contact details. Keep the source original and work with a suitable task copy so you can explain what was included or excluded.
The FTC advises businesses to understand the personal information they hold, who can access it and what they actually need. Apply that practical principle before processing a file. Do not assume you have permission to upload someone else’s material merely because you can open it. For workplace information, use the approved tool and handling process; if its suitability is unclear, resolve that with the responsible person before using real data.
Check the processing route, not just the filename
A PDF may combine selectable text and scanned pages. A spreadsheet may contain formulas, saved values, hidden sheets or different units. A slide may depend on an image or speaker note. Ask whether the chosen workflow supports the parts needed for your question, then inspect what was extracted. A service accepting the file extension is not proof of complete interpretation.
Use harmless test material to find out how the workflow handles a difficult table or page. If a quantity is read from an image, compare it visually with the original. If rows become detached from their headings, repair the input or use another suitable route before calculating. A stronger instruction cannot recover a page that was never provided to the model.
A smaller input. A visible proof trail.
Reduce exposure and inspect the working copy
Check which people and services can access the original, uploaded copy and resulting output. Review the actual account’s processing, retention and sharing arrangements instead of assuming all products or plans behave alike. A privacy setting concerning one use of data does not answer every question about access, storage or permission.
Remove fields that are unnecessary for the task using an appropriate method and verify the exported copy. Replacing names with labels can leave identifying context elsewhere. A visible box over text is not enough evidence that the underlying information has been removed. If you cannot establish a suitable handling route, practice on an invented example while the real-data question is resolved. This lesson does not certify a tool or a document as anonymous or legally compliant.
Request evidence and verify the answer
For extraction, ask for the value and its source row or passage. For a summary, preserve exceptions and statuses such as planned, approved or pending. For a calculation, inspect the selected records, units and arithmetic. An omitted field is not automatically a contradiction, and a plausible total can hide an incorrect selection.
Compare important findings with the original, including awkward entries and missing information. Keep unresolved differences visible for the source owner rather than asking the assistant to choose whichever version seems convenient. Record the task, source version, included material and review result when the work must be repeated. Treat the output as a result to assess, not proof that every relevant part of the file was read.
A smaller supply sheet with a checkable total
Original fictional workshop record: supply rows list 6 paper packs and 8 paper packs. The file also holds volunteer emails and personal notes. The task is only to total paper packs. A suitable practice copy retains the two quantities, their shared unit and source row labels; the contact and personal-note fields are unnecessary. The calculation is 6 + 8 = 14 paper packs.
| Material | Needed for this question? | Review |
|---|---|---|
| 6 packs and 8 packs, with row labels | Yes | Both rows use paper packs; recompute 14. |
| Volunteer email addresses | No | Exclude from the task copy and verify the export. |
| Personal notes | No | Do not include by default; check the copy for leftover context. |
| An unreadable extra quantity | Unresolved | Inspect the original before claiming a complete total. |
Put it into practice
Plan the input before the upload
You need the total paper-pack quantity from the fictional workshop sheet. One scan is blurry, and the full file includes unrelated contact details.
- State the exact question, included rows and unit.
- Identify fields that the task does not need.
- Describe what you must know about the permitted tool and working copy.
- Explain how you will resolve the blurry value.
- Specify evidence to request and what prevents a complete-total claim.
Keep your working notes in your own document. This page saves only your completion check, not your answers or customer data.
Check your understanding
Make the call.
Choose an answer for each question. Then compare the reasoning.
You have a useful next step.
- Define the question and use an appropriate, minimized task copy.
- Check the actual processing route and extracted content.
- Verify source evidence, selected records, units and unresolved gaps.
Completion is your own learning record. Quiz scores and practice checks are saved separately, on this browser.
